At the tender stage we - put together the entire application material, - design the business plan, - take financial responsibility, - prepare presentations, - design promotional materials, - campaign and lobby at the previous station of the conference series. At the preparations stage we - create and maintain the conference website, - manage the online registration (handle wire transfers, bank card payments, and billing), - manage the online abstract submission (give access to reviewers and notify presenters), - liaise with invited speakers, making accommodation and travel arrangements, - inform potential inquirers based on the confrimed and approved marketing plan, - negotiate with the conference venue and other vendors, - prepare the exhibitor and sponsor kit (confirmed with and approved by the scientific organizer), - negotiate with potential advertisers, collect the due payments, liaise with advertisers and create the exhibition space, - publish the booklet containing the conference program and related materials. At the venue we - handle registration and assist participants on the conference venue, - prepare and operate the conference mobile app which is downloadable for free by the participants. With this application the attendees can follow the program and connect with the organizers as well as each other, - compile the conference pack: name badges, bags and other materials (like pens and notepads), - provide appropriate audio-visual equipment for the time of the conference, - organize, advertise and implement social activities around the main conference program.
